Client Onboarding Specialist (COS)

As a COS, you are the heartbeat of our client onboarding journey, owning the critical transition from signed agreement to successful program launch. You’ll ensure every new client is set up for success by coordinating project timelines, managing documentation, driving operational excellence, and facilitating a smooth handoff to the Client Engagement team. This role is ideal for someone who thrives behind the scenes but understands the big picture: every operational detail directly impacts the client experience and long-term retention.

 

What You’ll Do 

Onboarding Project Management

  • Lead and manage assigned onboarding projects, coordinating timelines, deliverables, and cross-functional collaboration.
  • Facilitate Open Enrollment readiness, ensuring plan setup, carrier configurations, and eligibility verification are completed accurately and on time.
  • Prepare and manage client documentation, ensuring all plan documents, carrier submissions, and internal data are accurately maintained. 

Client & Team Collaboration

  • Partner with Sales, Implementation, Client Engagement, and Finance teams to ensure seamless onboarding and a smooth client handoff.
  • Act as the operational liaison with carriers, ensuring carrier paperwork is completed and processed timely.
  • Support platform testing and audits to ensure clients are fully prepared for their Open Enrollment experience.

Platform Training & Compliance Support

  • Conduct internal readiness assessments and support Client Engagement teams in providing training resources for clients.
  • Manage compliance documentation, including broker disclosures and required sign-off documents.
  • Maintain up-to-date knowledge of Decisely’s platform capabilities, ensuring accurate and informed onboarding support.

Flexibility & Process Excellence

  • Take on additional projects and responsibilities as assigned, contributing to continuous process improvement and team success.

What You Bring to the Table

  • 2+ years of experience in client onboarding, project management, benefits account management, or benefits administration.
  • High school diploma required, associate or bachelor’s degree preferred.
  • Active Life & Health Insurance License highly preferred.
  • Proven expertise in managing detailed documentation and coordinating across multiple departments.
  • Strong understanding of health benefits administration and Open Enrollment processes.
  • Proficiency in Microsoft Office Suite and CRM/HRIS platforms; experience with SaaS platforms is highly preferred.
  • Excellent written and verbal communication skills with a focus on operational accuracy and collaboration.
  • High attention to detail, organizational excellence, and the ability to manage multiple priorities in a fast-paced environment.

Additional Information

Physical Requirements:

This is a primarily remote role requiring the ability to sit or stand for extended periods and communicate clearly via phone and video. Some travel (up to 10%) may be required for client meetings or internal events.
